Who we are
Crucible Labs ("Crucible", "we", "us") is an AI-powered coaching platform that helps fitness coaches
manage programs, nutrition, content, and client communication in one place. We are based in Ireland and
committed to protecting the privacy of every coach and client who uses our platform.

What data we collect
We collect only the data needed to deliver the coaching experience. This includes:
Account data
- Name, email address, and password (hashed)
- Coaching business name and brand settings
- Stripe account details for payment processing
Client health &
activity data
When clients connect wearable devices (e.g. Garmin), we collect:

Usage data
- Pages visited, features used, and session duration
- Device type and browser information
Why we collect it
All data collection serves the coaching relationship:
- Platform delivery — running the coaching tools, storing programs, processing
payments
- Coach visibility — giving your assigned coach a clear picture of your progress,
adherence, and recovery
- AI-driven alerts — Crucible uses your data to proactively flag things your coach
needs to know (e.g. stalled weight, missed sessions, poor recovery scores) so they can act quickly
- Program generation — AI uses your history and preferences to draft programs and
nutrition plans tailored to you
We do not sell your data. We do not use your data for advertising. Your
health data is never shared with third parties for marketing purposes.
Who sees your data
- Your assigned coach — the fitness coach you are working with can see your activity
data, check-ins, progress, and AI-generated alerts
- Crucible team — a small number of team members may access data for technical
support, always under strict confidentiality
- No one else — your data is not visible to other coaches, other clients, or any
third party
How your data is stored
- EU-based servers — all data is stored on servers located within the European Union
- Encryption — data is encrypted in transit (TLS 1.2+) and at rest (AES-256)
- Supabase — our database infrastructure runs on Supabase with row-level security
policies
- Stripe — payment card data is processed by Stripe and never touches our servers.
Stripe is PCI DSS Level 1 certified
- Access controls — team access is role-based and logged
GDPR compliance
Crucible Labs is fully committed to compliance with the General Data Protection Regulation (GDPR). As a
data processor on behalf of coaches (data controllers), we:
- Process data only as necessary for the coaching service
- Maintain records of all processing activities
- Implement appropriate technical and organisational security measures
- Support data portability and the right to be forgotten
Your rights
Under GDPR, you have the right to:
- Access — request a copy of all personal data we hold about you
- Rectification — correct inaccurate data
- Erasure — request deletion of your data ("right to be forgotten")
- Portability — receive your data in a machine-readable format
- Restrict processing — ask us to limit how we use your data
- Object — object to processing based on legitimate interests
To exercise any of these rights, email hey@cruciblelabs.io. We will respond within 30 days.
Data retention
We retain your data for as long as your coaching relationship is active. When you or your coach end the
relationship:
- Account data is retained for 90 days, then deleted
- Health and activity data is deleted within 30 days of account closure
- Payment records are retained as required by tax law (typically 7 years)
You can request immediate deletion at any time by emailing hey@cruciblelabs.io.
Cookies
We use only essential cookies required for the platform to function (authentication, session management).
We do not use tracking cookies or third-party advertising cookies.
Changes to this policy
We may update this policy from time to time. Significant changes will be communicated via email. The
"last updated" date at the top of this page will always reflect the current version.
